Vendor Check-in: 8:00 AM at the Vendor Welcome Tent

Vendor Setup Window: 8:00 AM – 9:00 AM

Event Hours: 9:00 AM – 4:00 PM

Breakdown Begins: 4:00 PM

9:00 AM – 4:00 PM — Trade Show

9:00 AM – 4:00 PM — Sporting Events

9:00 AM – 1:00 PM — Group Fitness Classes

1:30 PM – 3:30 PM — Seminar

4:00 PM – 5:00 PM — Closing Ceremony

5:00 PM – 8:00 PM — DJ Set/Live Music

• 10' x 10' space 
• Electricity is available by request via the Vendor Onboarding Form, which will go out in August.

Vendor brings their own table, chairs, tent

Yes — selling is allowed, but you’ll need to provide your own payment processing (Square, Venmo, etc.).

Absolutely — we encourage it! Make your booth pop and attract traffic.

There will not be wifi access, we recommend using a personal hotspot if you need strong internet access. If you absolutely require high speed internet, please reach out to us.

There will be dedicated vendor loading zones between 8:00 AM and a hard stop at 9:00 AM. We’ll send detailed maps and instructions closer to the event. Parking is available nearby but not guaranteed — we recommend unloading, then relocating your vehicle.

Yes — we’ll be there rain or shine. Please plan accordingly. In the case of tropical storm, we will work on figuring out a rain date.

We’ll do our best to accommodate requests, but booth placement is ultimately determined by our layout and traffic flow priorities.

While it's not required, promoting the expo on your socials is a win-win! 

Yes, security will be on site

Yes — porta potties and public restrooms will be available.

We don’t require proof of insurance, but all vendors must sign a liability waiver in the onboarding form. If you have business/event insurance, even better.

Your standard space is about 10x10 (depending on the space). If you need more space (e.g. for a special activation, equipment, racks), we can offer a second space at a discount.

Yes — prepackaged or sealed items are allowed. If you’re sampling open food/beverages, please contact us for compliance info with the city health department.

Tag @hudsonfitexpo on Instagram and use #hudsonfitexpo in your posts. We’re happy to reshare and feature vendors leading up to the event.

Yes — we’ll provide a digital vendor map and listing to attendees. Make sure your info is current when you complete the onboarding form.
